From our team's experience

Inspection-ready regulatory operations for early-phase oncology

We led regulatory operations for early-phase oncology trials, maintaining IND documentation and audit-ready files as the primary liaison between investigators, sponsors, and regulators.

Phase I and early-phase oncology

This work was led by our clinical research lead in a prior role. It is presented to show the depth of experience behind our clinical practice.

The Challenge

Early-phase oncology trials carry a heavy regulatory burden. Investigator-held Investigational New Drug (IND) applications require meticulous documentation to keep current. Protocol amendments come frequently as safety data evolves and study designs are refined. Annual reports must be filed on schedule. IRB submissions, safety reports, and regulatory correspondence all need to be tracked, filed, and retrievable.

At a leading academic medical center running thoracic oncology and Phase I trials, the regulatory workload was constant. One missed filing, one outdated document, or one gap in the regulatory binder could delay a study or create a finding during an FDA inspection or sponsor audit. The stakes were high: Phase I trials test drugs in humans for the first time, and regulators expect the documentation to reflect the seriousness of that work.

What We Did

We led regulatory operations for the thoracic oncology and Phase I portfolio. That meant serving as the primary point of contact between investigators, sponsors, and regulatory authorities.

Our responsibilities covered the full scope of regulatory documentation:

  • Provided documentation support for investigator-held INDs: protocol amendments, annual reports, and safety reporting
  • Compiled and filed annual reports on schedule for each active investigator-held IND
  • Managed IRB submissions including initial reviews, continuing reviews, amendments, and reportable events
  • Maintained the regulatory binder and investigator site file so they were complete, current, and audit-ready at any point
  • Tracked regulatory correspondence and ensured responses were filed within required timeframes

We served as the go-between when investigators had questions about regulatory requirements or when sponsors needed documentation from the site. That meant translating between clinical language and regulatory language, making sure everyone understood what was needed and why.

We also mentored junior regulatory staff. Early-phase regulatory work has a steep learning curve, and building depth on the team meant the program could handle more studies without creating single points of failure. We focused training on documentation standards, submission timelines, and the practical details of keeping files organized for inspection.

The Result

Trials stayed compliant. Regulatory files were complete and current, ready for an FDA inspection or sponsor audit at any time. That readiness wasn’t a one-time effort before a known audit date. It was the baseline standard.

The mentoring investment paid off in team capacity. Junior staff grew into contributors who could manage regulatory submissions independently, which meant the portfolio could expand without a proportional increase in senior regulatory time. When an investigator had a question about an amendment or a sponsor asked for site documentation, there was more than one person on the team who could answer it.

What We Did

  • 1Led regulatory operations as primary liaison between investigators, sponsors, and regulatory authorities.
  • 2Supported investigator-held IND documentation, protocol amendments, annual reports, safety reporting, and IRB submissions.
  • 3Kept regulatory files inspection-ready at all times.
  • 4Mentored junior regulatory staff on documentation standards and submission processes.
